Do we need individual consent for every guest?
Generally, no. For most business events and PR photography, we work with clients on a Legitimate Interests basis. As long as guests are clearly notified (for example via booking terms or on-site signage), specific “opt-in” forms for every attendee are not usually required for editorial or internal use.
How do you handle “no photo” requests?
Our photographers are briefed by the Picture Desk to respect on-site protocols. Whether it is a specific lanyard colour, a defined “no-photo” zone in the plenary, or a direct request from a guest or VIP, we work to ensure those individuals are excluded from the final supplied gallery.
Is the delivery of images secure?
Yes. UNP uses encrypted, password-protected galleries for image deliveries and does not rely on publicly accessible “open” links. This helps ensure that your corporate assets – and the personal data (faces) within them – are only accessible to your authorised team.
How do you support data or removal requests?
To reduce the compliance burden on your team, UNP maintains a GDPR-aligned archive and a clear Privacy Policy. If an attendee exercises their “right to erasure” or requests more information, we can help you locate and remove specific files from our systems promptly.
Who owns the copyright and the data?
Under our standard terms, UNP/the photographer retains copyright but grants you a broad licence for PR use and corporate use. As the Data Controller, you decide how the images are used. UNP typically acts as a Data Processor, ensuring that files are stored and delivered securely in line with your policies.
Can you provide a DPA or DPIA support?
Our central Picture Desk can provide the documentation and insurance certificates (Public Liability & Professional Indemnity) your legal or procurement teams require, and can support Data Processing Agreements or Privacy Impact Assessments where needed.
