1. About UNP – overview of terms and conditions

We supply photographers across the UK for press, PR, corporate, editorial and event assignments, coordinated via our central Picture Desk, under these terms and conditions.

2. Commissioning UNP & bookings

A booking is considered confirmed once details have been accepted by the UNP Picture Desk via email, purchase order, written instruction or other recorded communication.

2.1 Information required

To deliver a successful assignment under these terms and conditions, we typically require:

• Location(s), timings, access details and any restrictions
• Key people, spokespersons and must-have shots
• Usage requirements (press, web, corporate, social, internal comms etc.)
• On-site contact details

2.2 Last-minute bookings

For reactive press, PR calls and breaking news, we often assign photographers within minutes. Acceptance is dependent on availability.

3. Fees, expenses & payment – key terms and conditions

UNP fees are agreed at the time of booking or through pre-agreed rate cards. Fees typically include:

• Photographer’s time
• Standard editing & image delivery
• Coordination through the Picture Desk

3.1 Additional costs

The following may be added where applicable:

• Congestion & Clean Air Zone charges
• Parking
• Extended usage (advertising or high-reach paid campaigns)
• Specialist editing, retouching or fast-track delivery

3.2 Payment

Standard payment terms are 30 days from invoice date unless agreed otherwise.

4. Cancellations & rescheduling

We understand that press and PR schedules can change quickly. To ensure fairness to our photographers while maintaining flexibility for our clients:

• Cancellations & Rescheduling: Requests made more than 24 hours before the scheduled assignment are free of charge.
• Last-minute Changes: Cancellations or rescheduling requests made within 24 hours of the assignment will incur the full fee (100% of the assignment cost).
• Availability: While we always strive to accommodate rescheduling, it remains subject to our photographers’ availability.

5. Image rights, licensing & usage

All images supplied by UNP are licensed, not sold. Copyright remains with the photographer or UNP depending on assignment agreements.

5.1 Included usage

Unless otherwise stated, standard UNP commissions include usage for:

• Press & PR coverage (print & online)
• Corporate communications & internal usage
• Brand websites & social channels

5.2 Extended usage & Copyright Buyout

High-reach advertising, commercial campaigns, OOH, billboards or paid media require additional licensing.

Copyright Buyout: For clients requiring total flexibility and “mileage” from their images, we offer an optional full Copyright Buyout. This grants you full ownership for any future use, including advertising. Please discuss this with the Picture Desk at the time of booking.

5.3 Editorial context

UNP regularly supplies imagery for news and editorial use. Consent is generally not required for legitimate editorial purposes.

6. Delivery of images

• Images are delivered edited, press-ready and supplied electronically.
• Delivery methods include secure gallery, download link, FTP or email.
• Turnaround times vary by assignment but same-day or next-day delivery is standard for PR work.

7. Photographer conduct & on-site expectations

All UNP photographers are expected to work professionally, safely and respectfully in line with:

• Client and venue protocols
• Industry press & editorial standards
• Health & safety requirements
• Confidentiality where applicable

8. Limitation of liability

UNP is not liable for delays or non-performance arising from circumstances outside our control, including but not limited to access restrictions, sudden location changes, adverse weather, safety concerns or client-provided misinformation.

In all cases, UNP’s liability shall not exceed the value of the assignment fee paid.
